Matching Records with Existing Borrower

This topic explains how to match records in the Intake table with entries in the Borrowers table. This is an essential part to the student import process because this ensures that there are no duplicates when the records are transferred to the Borrowers table.

 

This topic also assumes that there are records ready to match in the Intake table with records in the borrowers table. Normally, these records are present right after a CSV file containing borrower data has been imported. Note that records can only be matched when there are records present within borrowers.

 

Only existing students (borrowers that are already enrolled) need to be matched in order to avoid duplication. If there are students that cannot be matched then this is likely that they are new to the library, in which case it is not required to match them. The application can transfer these new students and enrol them onto the library software as a borrower.

 

The steps below demonstrate how to match records in Intake with existing borrowers.

 

·Open the Intake table from Database / Intake at the top of Management.

 

 

 

·Double-click on a record or click Edit from the Records menu to open it and the matching form will open:

 

 

·The Imported Details will display in the first area, this shows the details of the record that has been imported.

 

 

 

·The options under the Import Method are the where the borrower can be matched with an existing record. By default, the system assumes that every record is New so New Borrower is selected. However, to the associated record from the Borrowers table, first click Existing Borrower.

 

 

 

·Locate the associated borrower in the grid. Some suggestions are automatically generated but if the record is not present use Quick Search to locate them. Once the existing borrower record has been located, double click on it in the grid and then click Save.

 

 

 

·This borrower will automatically be transferred to Borrowers and any details updated.

 

·Repeat this process for all existing records as necessary.

 

 

Once all applicable records have been matched, only new students should be present in the Intake table. When this is confirmed, follow the topic on Transferring Borrowers.
