By creating sites, it is possible to split up the Resources in the catalogue that can then be searched separately. When loading a "site" from the dashboard or by using the URL, only resources in that site display. There is one exception to this; any resources that do not have a site defined, will show in every site. The details in this topic explain how to allocate resources to sites using Quick Replace (for more than one resource) and singly.
- Using Quick Replace to allocate sites
- Allocating sites at the point of cataloguing or for one record
Quick Replace
Normally, allocating resources using this method is useful to retrospectively update the catalogue with the site information. After the desired resources are nominated to a site, subsequent records will be added at the point of cataloguing. For detailed information about using Quick Replace, see the dedicated section here.
·Select the resources you would like to allocate to a site using Quick Search, Advanced Search or Flagging then access Quick Replace from the Tools menu at the top of Management.
·In the Field drop down, select the Site Name field.
·Select Filtered Records or All Records using the radio buttons, depending on what you need to update.
·The grid will list the current occurences and under value display each value that is set for the selected records. In the example above, no resources have been allocated a site so *blank* shows under Value. Click on the value you wish to update.
·In the Replace with drop down box, select the value to update. In this example, the resources are being allocated to the "Junior" site so this is selected.
In the example shown above, all 425 *blank* sites are being allocated to the Junior site.
·Click Replace to execute the quick replace.
·The grid will update with the new values.
Individually and when Cataloguing
This method explains how to allocate a single record to a site.
·When sites have been configured and a new resource is being catalogued, the Site field will display when cataloguing a resource. Use this drop down menu to select the site to designate the resource to.
It is also possible to do this singly when editing a resource. Simply select the site name from the drop down menu on a resource record card.
