There are two ways to catalogue Periodical issues but both depend on cataloguing the Periodical template first so if following along ensure this has been done beforehand. More details on cataloguing Periodical Templates can be found in the topic here. Also, it is recommend to read the topic Getting Started with Periodicals before following the instructions in this article to make sure that you are familiar with the terms used throughout. The instructions in this topic describe both methods of cataloguing Periodical Issues and explain the advantages of each.

 

Although the steps in this topic refer to "Periodicals", the content in this topic also applies to cataloguing Journal Issues. Doing so is exactly the same although you need to select / choose Journal instead of Periodical where applicable.

 

 

Method 1: Using the New Resource Window

 

This method describes the more traditional way to catalogue a resource. This is often more desirable than the second method if you do not have several issues of one edition to catalogue, for example, when cataloguing multiple issues across several editions in one go.

 

·On the cataloguing screen, select Periodical Issue and give it a barcode.

 

In this example, a barcode label of 696 has been stuck onto the resource so this is scanned into the barcode box.

 

 

 

·Next to the Periodical Title field, click the Find button then search Biological Sciences Review as this is the edition that is being catalogued.

 

 

 

Select the edition from the list and click Select.

 

·Notice that this automatically fills in the Title, ISBN and ISSN fields. In this example, volume 25 issue 1 is being catalogued so that is entered into the Volume and Issue boxes respectively.

 

 

 

·Click Continue to launch the record card.

 

 

 

Notice that many of the details on the catalogue record have been entered automatically. This is because they are pulled from the Periodical template. There is a distinct difference though; the title of the Periodical Issue always includes the volume number and issue number. Because Volume 25, Issue 1 has been catalogued, the full Title reads "Biological Sciences Review - Volume 25 Issue 0001".

 

·Click Save after making any changes.

 

 

Method 2: From an existing Periodical

 

In addition to the first method above, issues can be catalogued directly from its parent template record. The advantage of this doing so this way is speed - It is quicker if you have many consecutive issues to catalogue at once.

 

·Locate the Periodical template in Management and Edit the record to view the templates record card.

 

·From the templates record card, click the Issues tab.

 

 

 

·Enter the Volume number and Issue number of the new issue then click Add.

 

 

 

·A new catalogue record window will open containing the template details. A barcode number still needs assigning to the resource so right-click in the barcode field and enter one in the change barcode box.

 

 

Click Continue once a barcode has been entered.

 

·Modify the resource details if necessary and then click Save.

 

 

 

 

·The issue has now been added. Notice that it now shows on the Periodicals Issue tab.

 

 

 

 

Resources can also be edited and deleted from this tab by using the appropriate buttons.
